Job Description

WMClub is seeking a proactive and highly organized Event Organizer to join our team. The ideal candidate will have experience in planning and coordinating high-end events and a deep understanding of Chinese culture and social dynamics. This role involves coordinating events, managing communications with clients and stakeholders, and ensuring the smooth execution of all logistical aspects.

Key Responsibilities:
  • Event Planning and Execution: Assist in planning, coordinating, and executing upscale events in art, fashion, and charity, ensuring each event exceeds client expectations.

  • Administrative Support: Support the Event Director with administrative tasks to ensure efficient event planning and execution.

  • Client Relationship Management: Build and maintain relationships with Chinese expatriate clients, understanding their preferences to tailor events that resonate with their interests.

  • Point of Contact: Act as the primary liaison for Event Leads, providing guidance and support throughout the event process.

  • Event Coordination: Organize WMClub events and training activities, including webinars, with meticulous attention to detail.

  • Collaboration: Brief the Events Manager and Marketing team on requirements for venues, equipment, catering, etc., and maintain close communication to ensure all preparations are on track.

  • Speaker and Vendor Management: Communicate clearly with speakers and collaborate with vendors, artists, and partners to arrange necessary equipment and materials for events.

  • Booking and Payments: Manage all event bookings and process payments promptly and accurately.

  • Stakeholder Liaison: Coordinate with delegates, suppliers, and the marketing team to fully book courses and promote events effectively.

  • Scheduling: Develop time plans and annual calendars for course dates, collaborating with marketing to create promotional materials with booking links.

  • Event Attendance: Attend all regional events to handle registrations, organize logistics, introduce speakers if needed, and capture photos for social media platforms.

  • Logistical Support: Serve as the point of contact before and during events regarding logistical matters.

  • Social Media Management: Utilize social media platforms effectively, demonstrating strong content creation and text writing skills to promote events.

  • Marketing and Promotion: Assist in developing event promotion strategies, including leveraging Chinese social media platforms to engage our target audience.

  • Feedback and Continuous Improvement: Gather feedback from clients and attendees to identify areas for improvement and implement enhancements in future events.

  • Strategic Contribution: Contribute ideas to the development of WMClub's event management strategies, identifying opportunities to innovate in the luxury event market.

Skills and Experience Required:
  • Language Proficiency: Fluency in Mandarin and English is essential.

  • Cultural Understanding: Deep understanding of Chinese culture and social norms to effectively engage and build relationships with clients.

  • Event Management Experience: Previous experience in event management, especially within the art, fashion, or charity sectors.

  • Organizational Skills: Exceptional ability to organize tasks, prioritize effectively, and adhere to specific timeframes.

  • Communication Skills: Excellent interpersonal skills with the ability to communicate effectively with diverse stakeholders.

  • Attention to Detail: Strong focus on detail, taking pride in delivering high-quality work.

  • Adaptability: Comfortable working across various teams and handling multiple responsibilities in a dynamic environment.

  • Networking Skills: Connections within the luxury art, fashion, and charity communities are a plus.

  • Marketing Acumen: Familiarity with Chinese social media platforms and marketing strategies to promote events and engage clients.

  • Problem-Solving Skills: Proactive approach with an intuitive and curious mindset for effective problem-solving.

  • Flexibility: Willingness to work flexible hours, including evenings and weekends, and to travel to events across the country as necessary.

  • Social Media Experience: Proven experience in social media operations and content creation.
